PRODUCT-SPECIFIC EVIDENCE
Quality Assurance and Documentation Review
Quality, regulatory and purchasing evidence must be reviewed for the exact product, destination market and supply route. Start with the product reference and state the acceptance criteria and documents your organization needs.
REVIEW SCOPE
Define Quality Requirements Before Order Approval
Identify the exact item
Use the complete product name, SKU, drawing revision or itemized set list. A category name or catalogue image alone does not define the supplied product.
Record acceptance criteria
State the dimensions, working features, appearance, identification, packaging and other checks that must be reviewed for the quotation or sample.
Request applicable evidence
Name the technical, quality, market, shipment or commercial documents needed and the product or transaction to which each document must apply.
Control changes
Keep approved specifications, samples, document revisions and requested changes connected to the applicable quotation and order communication.
BUYER QUESTIONS
Questions About Quality and Product Evidence
What quality information should I include with an RFQ?
Identify the exact product or itemized set, destination market, intended purchasing scope and any critical dimensions, functional checks, markings, packaging, traceability or document requirements. If your organization uses an inspection plan or approval checklist, include it for review.
Does a company certificate prove every product or market claim?
No. A company-level certificate has its own holder, sites, standard, scope, dates and status. Product and market requirements may need separate evidence. Confirm that each requested document is current and applicable to the quoted product, responsible parties and destination before relying on it.
How should a sample approval be recorded?
Compare the sample with the agreed drawing, product record or specification and document the checks performed, results, accepted exceptions and approval authority. A sample name or photograph alone is not a complete acceptance standard for a later order.
Are sterility, reprocessing and packaging claims the same for every instrument?
No. Do not infer sterile supply, a processing method, reusable status, packaging configuration or validated instructions from a general product family. Request the applicable product documentation and confirm the agreed supply condition in the quotation and order records.
